Snook Flow (“we”, “us”, or “our”) provides cloud software that helps snooker and pool clubs manage tables, sessions, orders, customers, staff, billing, and related operations.
This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using Snook Flow websites, apps, or related services (the “Services”), you agree to this policy.
2. Who this policy applies to
This policy covers information about:
- Business owners and administrators who create a Snook Flow account
- Staff members invited to access a business
- End customers whose details are entered into Snook Flow by a club
- Website visitors and people who contact us for support or sales
If you are a club customer and your details appear in Snook Flow, the club that entered your information is typically the primary controller of that customer data. We process it on their behalf to provide the Services.
3. Information we collect
Account and profile data. Name, email address, phone number, password or authentication tokens, profile image, and similar account details.
Business data. Business name, address, contact details, branding/invoice settings, subscription and billing status, and configuration for boards, tables, products, rates, and staff roles.
Operational data. Game sessions, table/board status, orders, sales, payments, customer balances, inventory, expenses, income, activity logs, and related records you create while using the product.
Device and usage data. IP address, approximate location derived from network signals, browser or app type, device identifiers, login times, crash logs, and product analytics needed to keep the Services secure and reliable.
Support communications. Messages you send us by email, WhatsApp, in-app channels, or other contact methods.
4. How we use information
- Provide, operate, and improve the Services
- Create and manage accounts, staff access, and business workspaces
- Process subscriptions, invoices, and related billing records
- Send transactional notices such as login codes, invites, and service alerts
- Provide customer support and respond to inquiries
- Monitor abuse, prevent fraud, and protect the security of the Services
- Comply with legal obligations and enforce our Terms and Conditions
- Send product or service updates where allowed; you can opt out of non-essential marketing messages
5. Legal bases
Where applicable law requires a legal basis, we process personal data to perform our contract with you, for our legitimate interests in running and securing the Services, with your consent where requested, and to meet legal requirements.
6. Sharing of information
We do not sell your personal information. We may share information with:
- Service providers who help us host, authenticate, send messages, process payments, store files, or analyze product performance
- Staff and authorized users within your business, according to the permissions you configure
- Professional advisers, auditors, or authorities when required by law or to protect rights and safety

7. International transfers and hosting
Snook Flow may store and process information on servers or with providers located in Nepal or other countries. Where data is transferred internationally, we take reasonable steps to protect it in line with this policy and applicable law.
8. Data retention
We keep information for as long as your account is active and as needed to provide the Services, resolve disputes, maintain backups, enforce agreements, and meet legal, tax, or accounting requirements. Clubs may delete or update customer and operational records they control within the product, subject to technical and legal limits.
9. Security
We use reasonable administrative, technical, and organizational measures to protect information, including access controls and encrypted transport where appropriate. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
10. Your choices and rights
Depending on applicable law, you may be able to:
- Access, correct, or update account information
- Request deletion of personal data we hold about you
- Object to or restrict certain processing
- Withdraw consent where processing is based on consent
- Request a copy of certain personal data in a portable format
Club customers should first contact the club that collected their information. Account holders can contact us using the details below. We may need to verify your identity before fulfilling a request.
11. Cookies and similar technologies
We use cookies, local storage, and similar technologies for authentication, preferences, security, and basic analytics. You can control cookies through your browser settings, but disabling them may affect sign-in and other features.
12. Children’s privacy
Snook Flow is intended for business use by adults. We do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will take appropriate steps.
13. Changes to this policy
We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the Services after an update means you accept the revised policy, except where applicable law requires additional notice or consent.
